Administrative Assistant Enrollment / Admissions

Brightmont Academy has a part-time Admissions / Enrollment Administrative Assistant opening at the Birmingham campus. This position is responsible for assisting the Campus Director with general outreach and administrative duties. The Admissions / Enrollment Administrative Assistant will interact directly with parents, students, professionals, and staff to ensure overall success in the campus function.

Administrative Assistant Responsibilities:

  • Build campus culture by greeting and acknowledging students, parents, and guests as they arrive and leave the campus
  • Create positive first impressions by answering the telephones professionally with a friendly demeanor while servicing the caller’s needs
  • Ability to schedule appointments with flexibility, handle schedule changes and multi task
  • Demonstrate successful messaging with parent and professional inquiries
  • Encourage and arrange campus visits and tours
  • Support new students’ transition during their first day(s) on campus
  • Maintain campus inventories, supply ordering, and shipping needs
  • Coordinate luncheons and celebrations under the direction of the director
  • Maintain accurate data in the Student Information System including prospects, communication notes, enrollments, contracts, scheduling, attendance, and student sessions
  • Communicate urgency with director and lead teachers when contract renewals are near
  • Routinely report updates of prospects, session tracking, and other important data points with the director
  • Conduct all staff onboarding procedures, hiring requests, and PAF’s under the direction of the director
  • Provide first point service to parents for financial issues
  • Work with property management on facility issues
  • Maintain all office machines, kitchen, and studio materials
  • Ensure campus environment is clean and updated

Administrative Assistant Qualifications:

  • Customer service, marketing, or outreach experience preferred
  • Ability to work cooperatively and collaborative with the campus director, prospects, parents, students, and staff
  • Organized with exceptional detail-oriented skills
  • Demonstrated ability to complete assigned data entry tasks efficiently and accurately
  • Experience with MS Office, Google Docs, Chrome, and web based systems
  • Outstanding communication skills, both written and verbal
  • Self-motivated with the ability to meet and exceed goals
  • Perform Other duties as assigned


  • Positive can do attitude
  • 4-year university degree or equivalent experience
  • Regular and predictable attendance
  • Flexible availability- Monday through Friday - mostly 8 am to 2 pm
